    The Feedback Loop That's Killing Web Projects

    You built exactly what the brief said. The client comes back with 23 emails, a Loom video where they mumble over the wrong tab, two spreadsheets that contradict each other, and a Slack message at 11 pm saying "can we hop on a call tomorrow?" Three revision cycles later, you're still fixing things you already fixed in cycle one.

    This isn't a communication problem in the traditional sense. It's a structural problem — and it's endemic to web development. The tools clients use to give feedback were never designed for reviewing software. Email threads were built for correspondence. Loom was built for async team communication. Spreadsheets were built for data. None of them were built to describe a broken hover state on a mobile menu in Firefox 122.

    Clients are not developers. This sounds obvious, but it has profound implications for how they observe and describe problems on a website.     The revision tax

    Part 2: The Cognitive Overload Problem

    What is cognitive overload in feedback?

    Cognitive overload happens when a reviewer — typically your client — is asked to do too many things at once: evaluate the design, remember what the brief said, articulate what they're seeing, decide whether something is a bug or a preference, and write all of that down in a way that makes sense to someone who wasn't there.

    That's a lot. And most clients aren't trained to do it.

    The result is feedback that is:

    • Vague by omission — "the homepage doesn't feel right" with no further detail
    • Imprecise by vocabulary — "the font is too loud" (they mean too heavy, or too large, or too high-contrast)
    • Duplicated — the same issue mentioned in three different emails because they forgot they already reported it
    • Bundled — multiple unrelated issues crammed into a single paragraph, forcing the developer to parse and separate them

    Why batched feedback makes overload worse

    Most teams do feedback in batches. The client gets a staging link on Monday, a reminder on Wednesday, and a feedback deadline on Friday. On Friday afternoon, the client opens the site for the first time all week and tries to remember everything they noticed during their earlier review — which they made no notes about because they were "just looking."

    This batch model maximises cognitive load. Instead of capturing a thought in the moment it arises, the client must reconstruct observations from memory, often days later. Memory is lossy. The vivid impression of "that button looked wrong" degrades into "something in the header area was off."

    Part 3: The Context Collapse Problem

    What is context collapse in feedback?

    Context collapse is what happens when the rich, multi-dimensional experience of "viewing a website" gets compressed into a flat, context-free text description. The client was on a 13-inch laptop, in Chrome, at 110% zoom, with a slow connection, and they clicked the pricing toggle before navigating to the contact form — and none of that makes it into the feedback email that says "the contact form looks weird."

    The developer who receives that feedback has almost none of the information they need to reproduce the issue. They have to guess at the browser, the screen size, the zoom level, the preceding actions, and what "weird" means. Frequently, they can't reproduce it at all — and the issue gets closed as "can't reproduce" until the client complains again in the next revision cycle.

    The Loom problem

    Loom videos are well-intentioned but structurally flawed as a feedback medium. They capture video, but they don't capture the machine state. You can see a client clicking through a site and saying "this looks broken" — but you can't see their browser version, their viewport, their installed extensions, or their network speed. And because loom videos are linear, finding the relevant moment in a 12-minute recording is its own time tax.

    More critically, Loom videos require a developer to watch passively before they can act. A two-minute clip that describes a 30-second problem still consumes two minutes of focused attention, often multiple times — once to understand it, once to confirm understanding, once to verify the fix. That compounds across a project with 15 individual Loom reports.

    The spreadsheet trap

    The other common fallback is the feedback spreadsheet: a shared Google Sheet where clients log issues row by row, sometimes with screenshots attached. This feels organised. It looks like a system. It is not a system.

    Spreadsheets have no relationship to the actual site being reviewed. A row that says "row 14: hero button — wrong colour" contains no URL, no screenshot of the state at the time of review, no browser info, and no way to verify when the fix was applied. They also drift: clients update rows inconsistently, add new issues without flagging them, and never mark things "done" because the spreadsheet has no workflow.

    Part 4: How In-Situ Feedback Solves These Issues

    What "in-situ" means

    In-situ feedback means feedback captured at the exact location, state, and moment where the reviewer observes a problem — without requiring them to switch tools, write a structured report, or remember the context later.

    The reviewer stays on the site. They speak or type a note. The tool captures:

    • The viewport dimensions and device type
